Privacy statement

The Municipality of Eindhoven processes personal data in the context of HECS's services to employers and international employees. In this privacy statement we explain how we proceed and provide information on data subjects rights regarding personal data.

What is personal data?

Personal data is information about a person. This means the information is directly about someone, or refers to this person.

Personal data

In the context of providing HECS services to employers and international employees, we only process the data necessary and required to offer the services. These are:

  • Name

  • Address

  • Residence

  • Country of residence

  • Postal Code

  • E-mail

  • Date of birth or age

  • Marital status (family situation)

  • Sex

  • Phone number

  • Nationality

  • Citizen Service Number (BSN)

  • V-number

We process this personal data with Microsoft Dynamics CRM.

Basis

We process this personal data on the basis of the BRP Act.

Purpose

We process the personal data for the purpose of facilitating employers to hire international employees from within and outside of the European Union. The Municipality of Eindhoven wants to make this process as easy as possible for employers as well as for international employees and their families. For this reason, a combined appointment is scheduled at HECS for registration into the Municipal Personal Records Database (BRP) and when necessary, to obtain a residency and work permit from the IND. In this way, the employer and the international employee are facilitated smoothly in the handling of these formalities.

Sharing personal data with third parties

We share personal data with certain third parties to enable our services to data subjects. (Processing) agreements have been concluded with these third parties to ensure adequate protection of the data.

Retention period

Generally, we store the personal data for one year after registration. However, if, within the one-year period, the employment contract is continued or renewed in the Netherlands, a new period of one year will begin.

Data subject’s rights

You have the right to know which personal data the municipality records and with whom your data has been shared. If you wish to view your data, please send an email to privacy@eindhoven.nl

In addition, we can:

  • change your personal data if you rightly indicate the data is incorrect;

  • delete your personal data (subject to certain conditions);

  • delete your personal data from the filing systems of third parties with whom the municipality shares your data.

You can only view, change or delete your own personal data. We will ask you to identify yourself. Viewing data of other persons is not allowed.
